Job Descriptions

Club President

The club president is an honorary position and, in theory, the holder would not perform any official duties within the day to day running of the club. The president
will have the authority to be present at committee meetings but not to take part unless invited to by a committee member. The club president would not
have a vote at committee meetings.

Functions would include welcoming visitors and teams, presentation of trophies and prizes and speaking at official functions.

It could also be considered that the president take the role of ‘independent arbiter’ in disciplinary cases where a solution has not been achieved through normal
channels. This would easily be covered by constitution and provide an independent oversight in delicate matters.

The president’s term of office would normally last 3 years but, in the face of popular acclaim, could be extended.

 

Committee Chairman (term of office 1 year)

The committee chairman’s duties are to chair club committee meetings independently, efficiently and without bias. The chairman will liaise with sub-committee lead
members to ensure that efficient channels of communication are maintained and duties performed within reasonable time limits.

The chairman will not have a vote at committee meetings unless a casting vote is needed, in which case he will vote in the best interests of the club’s status quo.

The chairman will maintain an open channel of communication with the club secretary to ensure that all internal and external requests, decisions and
communications are distributed and dealt with efficiently along the proper channels.

The chairman will not have the authority to represent the club in any matters without the full approval of the committee

 

Committee Vice Chairman (term of office 1 year)

To ensure continuity a vice chairman will be elected and will attend committee meetings. At the end of the term of office of the chairman, the vice chairman will be
promoted to the position of chairman and a new vice chairman will be elected.

The vice chairman’s duties are undefined apart from taking the position of chairman if the current chairman is unavailable. The vice chairman may take part in
meetings but will no have a vote unless he is acting chairman and has the chairman’s casting vote. In order to make the position of vice chairman more meaningful
duties could be allocated and shared with the chairman as and when necessary – a useful extra pair of hands!!

 

Club Secretary (term of office variable)

The club secretary will be the hub of all communication between the club committee and the members and the management and vice versa. Management and any
members who have matters for discussion at committee level must present them through the club secretary. Any decisions made at committee level for distribution
to members or management must be handled by the secretary.

The secretary will maintain an accurate record of all official meetings within the club and will present these records for examination and authorisation at committee
meetings. The secretary will be responsible for handling all official communication (not bowling) into and out of the club.

The secretary will maintain open channel of communication with the committee chairman, and sub committee lead members, to ensure that all internal and external
requests, decisions and communications are distributed and dealt with efficiently. 

 

Club Treasurer (term of office variable)

The club treasurer will  be responsible for handling all official financial matters within the club structure. The treasurer will be responsible for maintaining and managing
the club’s bank account. The treasurer will present an up to date record of the club’s financial position at each committee meeting. The treasurer will organise
and present audited accounts at each annual general meeting.

 

 

The Club Captain

 

The Club Captain will be responsible for all bowling matters within the club environment.

 

The Club Captain will invite and appoint a sub-committee to assist him in dealing with his duties and will inform the

 

Club Committee of the members of the sub committee.

Duties include :

·       Deciding on and maintaining a member's handicap record at the start of each season for use in internal club competitions.

·       Assist sub-committee in all external competitions including Bowls Cyprus competitions and representative matches.

·       Maintain a line of communication with members regarding team selection by using the notice boards and website.

·       Sub .. committee will select "Captain of the Day" where appropriate (eg to's matches and where Captain not available himself).

·       Assist sub-committee in organising and ensuring the efficient running of all internal club competitions.

·       Organise and maintain an efficient training structure for bowls members, markers, umpires and trainers.

 

Vice Club Captain (VCC)

To ensure continuity a VCC will be elected annually. The VCC will not hold a formal committee position but will be entitled to attend and speak at all committee meetings.

At the end of the term of office of the Club Captain, the VCC will be promoted to Club Captain and another VCC will be voted in at an AGM.

 

The VCC duties are undefined except for taking the role of Club Captain in the event of the latter being unavailable. In such even the VCC will hold a voting position at meetings.

The VCC will assist the Club Captain as required in unspecified activities.

The VCC will be part of the bowling sub committee.

Bowling Co-ordinator

The bowls coordinator would naturally be a member of the club captain's sub committee for selection purposes.
The bowls coordinator will be responsible for the management and organization of all Club matches/ competitions.
The bowls coordinator will liaise with the club captain to maintain an efficient diary/calendar of events annually, (to ensure there are no date clashes).
The bowls coordinator will maintain a line of communication with the sub committee to ensure there are no date clashes between external internal games and competitions.
The bowls coordinator will be responsible for, and maintain, an efficient line of communication between Club members and the club captain.
The bowls coordinator will be the initial contact for members (re. bowling matters) and will report accordingly to the club captain.
The bowls coordinator represents the club captain when he/she is unavailable.

 

 

Liason and Membership officer

On advice from Committee regarding any issues that require Management approval, liaise with John Theodorou Management to find an appropriate solution to
question in hand. Chairman may also attend if it is felt necessary.

Check with Coach/Trainer for any potential new members. Discuss membership conditions etc, (whether they will be full members or subscriptions to JTM and Club fees to Treasurer. Annual check to formalise registration Associate members), arrange for them to pay their  returns to Bowls Cyprus.

 

Social Secretary (term of office variable)

The social secretary will invite and appoint a sub committee to assist him in dealing with his duties and will inform the club committee of the members of the sub
committee.

The social secretary will be responsible for devising and organising all social (Non Bowling) events under the heading of Aphrodite Bowls Club. These events may
include  social events inside and outside the club environment (beach party, 10 pin bowling, walks etc) and duties will include management of quizzes, bingo, raffles,
fetes, horse race
evenings etc.

The social secretary will also be the focal point for members to make suggestions regarding social functions and assist those members in their organisation.

The social secretary will be responsible for the arrangement and organisation of the club’s annual dinner dance and presentation evening.

 

Welfare Officer (term of office variable)

The welfare officer will take on the duties of welfare officer (looking after the general welfare and needs of members eg. sending get well cards, hospital visiting etc)
and meet and
greet officer (welcoming new members to the club and explaining the set up, rules etc). Duties of the welfare officer are naturally variable and dependent on the
personality of the holder
of the position.

 
 

2 - Bowls Cyprus Representatives.

These positions do not need to be elected by the membership. Rather, they should  be under the direction of the club captain / bowls co-ordinator as they are, more than most, aware of what happens in the bowling side of the club which needs representation at a Bowls Cyprus level, and vice versa what needs to be brought from Bowls Cyprus to a club level. The representatives could be any of those on the bowling sub committee. The Club Captain (or vice club captain or bowls co-ordinator) would report relevant Bowls Cyprus matters to committee
